General

  • To register to take part in St. Luke's Loop 2024 you must be 18 years of age or older on event day. Anyone under 18 years of age must be accompanied by a participating adult.  (Aged 18+).
  • An email address is required for each adult participant when registering. For participants under 18 years of age, the email address of the accompanying adult (18+) must be provided when registering the child.  All correspondence for St. Luke’s Loop will be via email.
  • All participants take part at their own risk. Participation in the Event is solely and entirely at the participants own risk and (to the extent permitted by law) no person(s) or organisation(s) shall be liable for any accident, harm, injury, loss or damage to property, however so caused, arising out of or in connection with or, suffered during or as a result of, your participation in the Event, provided always that nothing shall exclude liability for death or personal injury caused directly by the negligence of the organiser or its employees.
  • If you have any underlying health issues, you should consult a doctor before taking part.
  • St. Luke's Loop is a fundraising event. Your entrance fee covers the cost of organising this event therefore you are strongly encourage to raise sponsorship.
  • St. Luke’s loop is a 7.3 mile walk and registrants must be capable of completing the full distance of 7.3 miles and within 4 hours.
  • Transfers between walkers are only permissible through the St. Luke's Hospice event organisers, within the online registration period. Sale and/or transfer of entry is strictly prohibited.
  • Bib signs will be available onsite before the event to personalise and attached via safety pins which will be provided for participants aged 18+ only. Should you not wish to use safety pins you must provide your own alternative.
  • All entry fees are non-refundable and may not be deferred toward a future event.
  • Online registration closure is 5pm on Wednesday 2nd October 2024.
  • No postal entries.
  • St. Luke’s Hospice reserve the right, to modify, supplement or waive all or part of the event rules.
  • Participants shall be bound by any modification or supplement of the event rules published prior to the event.
  • Failure to follow these event rules, as may be amended, will result in immediate removal from the event.
  • By registering for this event you give consent to be photographed which will be taken  and may be used in any medium and for or for any purpose(s) deemed appropriate by St. Luke’s Hospice Basildon and District Ltd, in perpetuity. 

    Event Day

    • Participants must follow instructions as given from all event officials including event staff, volunteers and the First Aider throughout the duration of the event.

    • All participants are expected to conduct themselves in a respectful and courteous manner during their participation in the event. This means, for example, that urinating or defecating anywhere on or near the course shall be strictly prohibited except in toilet facilities. Anyone violating this rule of conduct shall be removed and asked to leave the event

    • All participants must acknowledge and agree that personal information (including medical information entered on registration or officially collected by the event First Aider during or after the event) can be stored, used and disclosed by St. Luke’s Hospice in connection with the organisation and administration of the event and for the compilation of statistical information.

    • All Participants shall assemble for the walk at St. Luke’s Hospice, Basildon front carpark no less than 15 minutes prior to the walk start time.

    • All participants shall enter the carpark from the back entrance of the Hospice unless otherwise directed by an event official.

    • All participants MUST complete emergency contact details during online registration, on the day registration and write on the reverse of their running bib.

    • Participants must begin the event during the official recognized starting times.

    • All participants must be positioned behind the starting line when starting.
    • There will be no facility’s to leave any bags at the start. Any bags left either at the Hospice or in your car are left at your own risk.

    • St. Luke’s Loop begins and ends at St. Luke’s Hospice in Basildon therefore we ask participants to be mindful of  patients, their loved ones, staff and volunteers on site  Please be reminded that limited parking for St. Luke’s Loop participants is available in our rear Hospice car park.

    • On the day registration is strictly between 10am and 10.45am.

    • If you are bringing a dog they must be kept under control at all times, be kept on a lead at all times and it is your responsibility to bring a supply of poop bags and clean up any mess left by your dog. There are Bridle paths located within Langdon Hills Country Park so please do consider this before registering for the event.

    • Participants MUST sign in at the event registration area upon arrival at the Basildon Hospice on event day. Failure to do so will result in not being recorded or monitored as a participant 

    • Participants MUST report and sign in again at the event registration area upon completing the walk. Failure to do so will result in; 1. Contact with your emergency contact 2. Search and locate resources deployed along the route or contact with the emergency services
    • On event day if you are unable to complete the walk once you have registered it is important that you inform a marshal or member of the event team.  Failure to do this will result in the presumption that you are missing and 1. Contact with your emergency contact will be made 2. Search and locate resources deployed along the route or contact with the emergency services.

    Course

    • The walk will be cross-country. The course utilises established pathways but the ground will be uneven and bumpy and the terrain will be hilly, including some steep ascents and descents

    • Correct walking footwear is advised and take plenty of water with you as there are no shops along the route.

    • Any participant who refuses to obey the directions of the event official, or course marshal, or who conducts themselves in an unsportsmanlike manner, or who is offensive by action or language to officials, volunteers, participants or spectators may be removed from the event and banned from future participation.

    • The 7.3 mile St. Luke's Loop course takes place on established pathways and includes Langdon Hills Country Park with both Westley Heights and One Tree Hill areas are covered. Footpaths at One Tree Hill are less accessible than those at Westley Heights, and are not recommended for users of wheelchairs, mobility scooters or other or mobility aids.

    • Participants are responsible for their recognition and understanding of event signage, symbols and colour relating to participant maps, facilities and direction.

    • In the event a participant requires it, they will receive support from the event First Aider (who will be mobile for the duration of the event to cover the whole course).  The First Aider will seek further medical assistance through emergency services.

    • Participants are responsible and assume liability for any and all medical expenses incurred as a result of training for and/or participation in the event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.

    • Event officials reserve the right to delay, cancel, or suspend the walk due to inclement weather in accordance with emergency protocol on severe emergencies and/or inclement weather. No refund will be issued in these circumstances.

    • No refund will be issued if the event is cancelled due to a designated infectious or communicable disease or a threat or fear thereof, leading to quarantine or travel advisory or warning.
    • The organiser has no liability for any loss of travel or accommodation costs that the participant may incur.
